# Account Management

## Sign Up

Creating an account can be accomplished through three methods: utilizing your Google or Microsoft Accounts or registering with an External Email Address.

1. To begin, visit <https://intermind.com>
2. Click on the **Sign In** button located in the top right corner of the homepage
3. On the Sign in to your account page, you will encounter the following options:
   * Google and Microsoft buttons, which facilitate access to the platform using your existing Google or Microsoft accounts
   * 'Remember me' checkbox, which allows you to maintain your logged-in status on this device
   * 'Forgot Password' link, which is available if you already possess an account but do not remember your password
   * 'Or sign in with' text, followed by the Email and Password fields for logging in, if you already have an account
   * 'Don't have an account?' text, followed by a 'Sign up' link, which enables you to register using your external email address

### Sign Up with Google Account

This method is advisable for efficient access through a Google Account, facilitating seamless synchronization with Google Calendar. The most effective experience can be achieved by employing the Google Chrome browser.

1. Click the **Google** button
2. A pop-up window will appear, prompting you to select your Google account
3. Authorize access to your basic profile information by clicking the **Continue** button

> If you prefer not to grant access to your basic profile information, click the **Cancel** button. You will be redirected back to the Sign in to your account page, where you can sign up using your external email address.

4. You will be directed to your InterMIND main page; no further setup is necessary

### Sign Up with Microsoft Account

This method is advisable for obtaining rapid access using a Microsoft account. The optimal experience can be realized by utilizing the Microsoft Edge browser.

1. Click the **Microsoft** button
2. A pop-up window will appear, prompting you to select your Microsoft account
3. Authorize access to your basic profile information by clicking the **Continue** button

> If you prefer not to grant access to your basic profile information, click the **Cancel** button. You will be redirected back to the Sign in to your account page, where you can sign up using your external email address.

4. You will be directed to your InterMIND main page; no further setup is necessary

### Sign Up with an Email Address

Use this method if you don't have a Google account or prefer to register with a separate email.

1. Click the **Sign Up** link next to the "Don't have an account?" text beneath the login fields
2. You will be directed to the Register form, which includes the following required fields:
   * **Email**
   * **Password**
     * A minimum of 8 characters
     * At least 1 uppercase letter
     * At least 1 numerical digit
   * **Confirm Password**
   * **First Name**
   * **Last Name**

> To ensure optimal account security, please create a password that meets the complex requirements listed above.

3. After completing the form, click the **Register** button
4. After successfully registering, you will receive an email verification message in your inbox. Once verified, you can log in using your email and password to access the features of InterMIND

### Forgotten Password

If you forgot your password, follow these steps:

1. Click the **Sign In** button on the homepage
2. On the login page, click **Forgot Password?**
3. Enter your registered email address
4. You will receive an email with a link to reset your password
5. Follow the instructions in the email to create a new password

> If you don't receive the email, check your spam folder or contact support.

## Sign In

Upon the creation of your InterMIND account, you are afforded the opportunity to sign in at any time. This allows you to host or join meetings, manage settings, access AI functionality, and review previous meetings along with their transcripts. Furthermore, the AI Assistant can be utilized within the meeting history.

### Accessing the Sign In page

1. Navigate to <https://intermind.com>
2. Click the **Sign In** button located in the top right corner of the homepage
3. You will be directed to the **Sign in to your account** page

### Sign In with Google

If you register using your Google account:

1. Click the **Google** button
   * If you have logged into your Google account in your Google Chrome (or any other) browser, you will be logged in automatically
   * If the system cannot identify your Google account, you will be redirected to the Google sign-in page for further authorization
2. Once authorization is complete, you will be redirected directly to the InterMIND main page

### Sign In with Microsoft

If you register using your Microsoft account:

1. Click the **Microsoft** button
   * If you have logged into your Microsoft account in your Microsoft Edge (or any other) browser, you will be logged in automatically
   * If the system cannot identify your Microsoft account, you will be redirected to the Microsoft sign-in page for further authorization
2. Once authorization is complete, you will be redirected directly to the InterMIND main page

### Sign In with Email and Password

If you created your account using an external email address:

1. Enter your registered email in the **Email** field
2. Enter your password in the **Password** field
3. (Optional) Check the **Remember me** box to stay signed in on this device
4. Click **Sign In** to proceed
5. Once authorization is complete, you will be redirected directly to the InterMIND main page

> Select "Remember me" only on trusted devices to prevent unauthorized access.

## User Profile

The User Profile page in InterMIND offers users the opportunity to view and customize their personal settings, manage device preferences, set communication options, and execute essential account actions, including account deletion.

### Accessing the User Profile page

Users can access their profile through two methods:

**From Any Page:**

1. Click on your user avatar icon located in the top-right corner of the page
2. From the dropdown menu, select the **Profile** option

**Direct URL:** Navigate to: <https://intermind.com/profile>

### Profile Overview

The profile page is organized into four main tabs:

#### Profile

**User Information**

* Displays the user avatar, display name (e.g., John Smith), and registered email address
* The display name can be edited using the pencil icon

**Current Plan**

* Shows the active subscription type (e.g., Basic, Pro) and its validity period
* Basic users see an **Upgrade Plan** button
* Pro users see a **Cancel Subscription** button

**Communication Preferences**

* **Newsletter**: Receive updates about new features and improvements
* **Promotions**: Receive special offers and promotional content

#### Billing

Accessible via the Billing tab in the left sidebar.

**Quota Usage**
Displays usage limits and consumption of core features:

* **File Storage**: 0.00 GB / 30 GB (or 2 TB for Pro users)
* **Meetings**: 0 / 25 (or Unlimited for Pro users)
* **Online Participants**: Up to 100 (or 150 for Pro users)
* **Period Start** and **Period End** columns

**Invoices**
Shows a list of issued invoices with:

* Invoice Number
* Date
* Amount
* Payment Status (e.g., Paid)

**Payments**
Displays payment transactions include:

* Payment ID
* Date
* Amount
* Status (e.g., Succeeded)

This section ensures full transparency and traceability for paid users.

#### Settings

Accessible via the Settings tab in the left sidebar. This tab allows users to configure device and meeting preferences.

**Devices**
Select microphone, speaker, and camera, toggle background blur.

* **Microphone**: Select preferred input device
* **Speaker**: Select preferred output device
* **Camera**: Choose active video device
* **Background Blur**: Enable or disable visual background masking

**Translation**
Choose default translation language and adjust original voice volume.

* **Target Language**: Select default translation output and interface language
* **Original Volume**: Adjust background voice volume while translated audio plays

**Others**
Set default layout (e.g., sidebar), assistant provider, and auto-leave option when alone.

* **Layout**: Choose display layout (e.g., Sidebar, Grid)
* **Leave Call Automatically When Alone**: Enable/disable auto-disconnect

#### Advanced

Accessible via the Advanced tab in the left sidebar. This section provides irreversible account actions.

**Delete Account**

1. Click the **Delete Account** button
2. Confirm the prompt (note: this action is irreversible)
3. Your data, history, and preferences will be permanently erased

# AI Features

This section outlines the functionalities of the Voice Assistant (Jarvis), Online Voice Translation, and AI Assistant available during meetings.

## Online Voice Translation

This functionality provides real-time translations for participants who enable it, ensuring that the experience remains unaffected for other attendees at the meeting. Moreover, users possess the flexibility to modify the translation language at any moment via the Settings panel.

The voice translator is automatically activated upon entering a meeting; however, the translation process will only commence if the interface and translation languages of the participants differ. In instances where all participants have chosen the same language, no translation will occur.

Once a participant alters their interface and translation language, all other participants will begin to hear the translation in the language they have selected within the meeting settings.

Additionally, participants have the option to adjust the volume of the original audio from other attendees through the meeting settings, allowing them to concentrate solely on the translation.

### Key Features

* Real-time voice dubbing in the selected language
* Personal translation settings (does not affect other participants)
* Ability to change translation language at any time through the Settings panel
* Available to all participant types (Host, Moderator, Participant, Guest)

### How to Enable

Translation can be activated by any participant by adjusting their language settings in the Settings panel during the meeting.

### Customization

* Each participant can set their own preferred translation language
* Translation preferences are saved in user settings for future meetings
* Languages can be changed mid-meeting through the Settings panel

## AI Assistant

The AI Assistant is accessible as a private chat interface within meetings. Users can open the AI Assistant panel to engage the assistant in text format, allowing for inquiries related to:

* Meeting summaries
* Transcript lookups
* Chat insights

### Capabilities

The AI Assistant can help with:

* **Meeting summaries**

### Common Prompts

Users may utilize prompts such as:

# Creating and Scheduling Meetings

Upon signing into InterMIND, users can conveniently create and schedule meetings directly from the main interface by clicking the **New Meeting** button.

## Accessing the Meeting Options

On the home screen, locate the prominent blue **New Meeting** button situated at the center of the page. Clicking this button will unveil a dropdown menu with three distinct options:

1. Create a meeting for later
2. Start an instant meeting
3. Schedule in Google Calendar

## Create a Meeting for Later

This option permits users to generate a reusable meeting link without initiating the meeting immediately.

**Steps:**

1. Click the **New Meeting** button
2. Select the **Create a Meeting for Later** option
3. A unique meeting link will be generated
4. Copy the link and share it with participants
5. You can join the meeting at any time using this link

> This option is particularly advantageous for team members who will join at different times or for future planning.

## Start an Instant Meeting

This option empowers users to initiate a live meeting session immediately.

**Steps:**

1. Click the **New Meeting** button
2. Select the **Start an instant meeting** option
3. A meeting room will open instantly in the current tab
4. You will automatically assume the role of Host
5. Utilize the 'Copy Link' option located in the bottom left corner, or copy the link from the browser's address bar
6. Share the link with other participants

## Schedule in Google Calendar

Schedule a future meeting and seamlessly integrate it into your Google Calendar.

**Steps:**

1. Click the **New Meeting** button
2. Select the **Schedule in Google Calendar** option
3. You will be redirected to a Google Calendar event creation page in a new tab
4. The meeting link will be automatically populated in the location or notes section
5. Set:
   * Date and time
   * Guests
   * Notifications
6. Click **Save** and send invites from Google Calendar

> This requires a connected Google Account and is particularly suitable for organized teams with integrated calendars.

As soon as the meeting is scheduled and if Google Calendar is connected to InterMIND, this meeting will appear on the main page of InterMIND in the section with scheduled meetings.

Also, as soon as the invited participants accept the invitation to the meeting, it will appear on their main page of InterMIND in the section with scheduled meetings, provided they are authorized and have synchronization with Google Calendar enabled.

# Data Privacy for AI Meetings

## Introduction

InterMind is a platform for multilingual video meetings with live AI-powered interpretation. We are built for professionals — where not only the message matters, but the privacy of that message too.

To deliver a seamless experience, InterMind integrates third-party services for video, audio, cloud storage, real-time interpretation, and analytics. These third-party providers help us ensure performance and scalability — but they also introduce a layer we cannot directly control.

We believe in **transparency over promises**. We can only guarantee privacy and security for components under our direct control — our software, interface logic, and how we route data. For everything else, we offer you **the power of choice**.

This is why we designed InterMind with **region-based confidentiality**: you choose where your data is processed, which legal framework governs it, and which AI models are used — based on your selected privacy zone.

## Core Privacy Principles

### 1. **Split Responsibility Model**

* InterMind does **not own or operate** the underlying cloud infrastructure or LLMs (large language models).
* We don’t store your media files, nor do we directly process your speech for model training.
* We **do control** the client-side software, routing rules, and compliance logic — including what region your data flows through, what model is used, and under what conditions.

### 2. **Architectural Transparency**

* You can explicitly see which region is active for your session, and which laws apply (e.g. GDPR in Europe, CCPA in the US, PDPL in the UAE).
* Each session runs in a designated **compliance mode**, and this configuration is visible and auditable.

### 3. **Privacy by Default**

* InterMind **never** stores or reuses your content for training, profiling, or commercial analysis.
* We do not retain transcripts or media unless you explicitly request it.
* If you disable interpretation, **no user data leaves your device at all**.

At the start of each session, or as part of your organization’s account settings, you can select a preferred privacy zone:

## What InterMind Guarantees

We implement strict technical and legal safeguards within our domain of control:

Client-side functions such as speech capture and UI rendering are handled locally whenever possible.

### 2. **Data Minimization**

Only the minimum data necessary for the current task is transmitted.

### 3. **End-to-End Encryption**

All audio/video data is transmitted through encrypted channels. Interpretation requests are tunneled via secure proxies, avoiding public exposure.

### 4. **No Default Storage**

We do not store your meetings, transcripts, or conversations unless you opt in. All storage is region-bound.

## Legal & Regulatory Compliance

InterMind supports full compatibility with:

* **GDPR** — Right to access, deletion, export, and restriction of processing. No AI profiling.
* **CCPA** — No sale of personal data, opt-out options, and transparent collection practices.
* **UAE PDPL** — Local storage if requested, strict access controls, no international transfers without consent.
* **China DSL/PIPL** — In-region processing only, no foreign routing if China is selected.

## What We Can and Cannot Guarantee

We are committed to full honesty, not just legalese.

* You always know **where and how** your data is being processed.
* You have tools to **control risk** by selecting your region and compliance mode.

## Meetings

**How do I create a meeting?**
Click on **New Meeting** from the main page. You can then choose to start instantly, schedule a meeting in Google Calendar, or create a meeting link for later use.

**Can meetings be recorded?**
Yes, Hosts and Moderators can initiate and terminate recordings. All participants will receive a notification when a recording begins.

## AI Assistant

**Who can use the AI Assistant?**

**What can I ask the AI Assistant to do?**
You can request summaries, notes, or questions from the AI Assistant.

**Can the AI Assistant interact with chat?**
Yes, the AI Assistant can analyze both the Transcript and Chat.

## Translator

**Does the Translator change spoken audio?**
Yes, it provides real-time voice dubbing in the selected language.

**Can I change the language mid-meeting?**
Yes, through the 'Settings > Your Language' option.

**Do guests get translated?**
Yes, the Translator option is also available for guests.

## Participation

**Can I send private messages in the chat?**
Not currently. All chat messages are visible to all participants.

**How do I raise my hand?**
Click the **Raise Hand** button in the bottom toolbar. All participants will be notified.

**How do I select a specific microphone or camera?**
Go to the Settings menu and choose from the available devices.

**How do I blur my background?**

## Main Interface Layout

Upon attending a meeting—whether as a Host, Moderator, Participant, or Guest—the screen layout varies based on your role (refer to the User Roles section). The layout includes:

* **Top Status Bar**: This bar displays the meeting link, security status, recording and translator indicator, providing essential information immediately
* **Central Video Area**: This area shows participants in either a grid or sidebar format, which can be adjusted via settings
* **Bottom Toolbar**: This toolbar contains the primary interaction controls vital for managing the meeting
* **Side Panel (optional)**: This panel features chat, participant list, and AI Assistant, enhancing user interaction

## Quick Customization Options

In the Settings, users can:

* Select their microphone, speaker, and camera devices to ensure optimal audio and visual quality
* Toggle between Grid or Sidebar layout to accommodate their preferences
* Enable or disable Background Blur for privacy during the meeting
* Change the Translator language to facilitate communication among participants speaking different languages

## Participant Interaction Features

The Meeting History page functions as a personal archive for all meetings you have hosted or attended while signed in. It offers quick access to recordings, transcripts, AI Assistant-generated summaries, and reusable meeting links - all consolidated in one convenient location.

## Accessing the Meetings History page

You can access the Meeting History page through one of three convenient methods:

* Click the 'History' link situated adjacent to the 'Report a Problem' icon in the page header menu
* Alternatively, click your avatar icon in the top-right corner, and then select **History** from the dropdown menu
* You may also navigate directly to the following link: <https://intermind.com/history>

## Meetings List

Each entry in your meeting history comprises:

* **Date** (including Time)
* **Room ID**
* **Duration**
* **# Pax (Participants)**
* **Recording**
* **Title**
* **Actions**
  * Delete
  * Share
  * Join

## Search & Action Buttons

To facilitate efficient management of your past meetings, the History page incorporates:

### Search Bar

This feature allows you to find meetings by keywords in the Title or Transcript, or by the exact Room or Participant. Filters can be combined for more precise results.

### Room ID

Clicking the Room ID link organizes the list to display only meetings associated with the same Room ID.

### # Pax (Participants)

Clicking this will open a dropdown listing all participants.

Some Action Buttons can be found hidden under the three-dot menu located on the right side.

### Available Actions

#### Delete

When this action is clicked, users will receive a notification prompting them to confirm deletion by clicking the **Yes, delete** button or to cancel the operation by clicking the **Cancel** button. Deleted meetings will no longer be visible to any participants. Only Hosts or Moderators possess the authority to delete a meeting.

#### Share

Users will receive a pop-up notification stating the **Link copied to clipboard!** which allows them to share this link with any authorized users.

#### Join

This action permits any user with the meeting record on the History page to join the meeting, resulting in the creation of a new record with the same Room ID.

## Meeting Details

Each meeting row features content-related tabs:

### Participants

This tab displays a list of all participants along with their respective roles.

### Recording

This opens a built-in media player for playback of the meeting recording. Users can start or stop playback, mute or unmute audio, and view the recording on full screen. Clicking the three dots opens an additional menu with the following options:

* **Download**: This initiates the download of the specific meeting recording
* **Playback speed**: Users can select playback speeds ranging from 0.25x to 2x
* **Picture in picture**: This feature allows users to continue navigating the meeting details page while watching the recording in a small window

### In-call messages

This tab displays all chat communications between users.

### Transcript

This opens the meeting transcript that logs all voice communications in text format. Messages from the Voice Assistant (Jarvis) are also included.

### AI Assistant

This enables users to obtain a meeting summary from the AI Assistant in chat format.

# User Roles

## Host

The Host is responsible for initiating the meeting and possesses comprehensive administrative privileges.

**Key Abilities:**

* Start and end meetings
* Mute any participant
* Promote or demote moderators
* Start and stop recordings
  * This encompasses any recordings initiated by the Moderator
* Remove any participants from the call
* Admit or deny guests
* Access meeting history
* Utilize any AI features
* Adjust personal settings, layout, blur, and view options

## Moderator

Moderators are designated by the Host to assist in managing the session effectively.

**Key Abilities:**

* Mute any participant
* Start and stop recordings
  * This includes any recordings initiated by the Host
* Admit or deny guests
* Remove any participants from the call, except for the Host
* Use the Online Voice Translator and change language (for their own audio)
* Use the AI Assistant (for their own view)
* Engage in chat, raise or lower hands
* Access transcripts and meeting history
* Promote or demote other moderators

## Participant (Authorized User)

Authorized participants are logged-in users who join the meeting without special privileges.
